Your external IT team
Your external IT team. One accountable partner.
We take over day-to-day support for users, Microsoft 365, Linux servers, backup and monitoring. The contract defines the scope, priorities and response times — your company knows who owns each IT issue.

Time for a change
Companies call us when ownership of IT starts to disappear
You do not have to wait for a major outage. The warning signs usually appear much earlier.
Nobody understands the whole environment
Access is split between vendors, documentation is stale, and every change starts with finding the person who configured it years ago.
Issues recur instead of disappearing
Tickets are closed one by one without root-cause analysis. Staff lose time, while management cannot see which incidents return every month.
Backup exists only as a claim
Jobs run, but nobody verifies retention, off-site copies or whether a full recovery actually works.
There is no agreed response time
When an outage happens, the company first has to decide who should act. The contract does not define priorities, escalation or support hours.
Scope of responsibility
What an external IT team can own
The scope follows the business. We do not add services just to increase the retainer — every item gets an owner, a ticket path and response rules.
Users and helpdesk
Tickets, accounts, hardware, onboarding and offboarding. Users know where to ask; management can see which issues repeatedly block work.
Microsoft 365
Accounts, licences, mail, files, MFA, Conditional Access and migrations. Leavers lose access on time and permissions do not grow unchecked.
Linux servers and infrastructure
Monitoring, patching, hardening, capacity and outage response on customer-owned servers and VPS instances. We do not sell hosting.
Backup and continuity
Retention, off-production copies, job monitoring and restore tests. The agreement defines the required RPO and RTO.
Operational security
Configuration reviews, MFA, access control, hardening and incident procedures. Legal advice and certification require a separate scope.
WordPress and WooCommerce operations
Updates, backups, monitoring and fixes for existing websites and stores. We do not build new websites.
Taking responsibility
How we take over your IT
We do not start by changing production. First we establish what exists, who has access and which systems are critical to the business.
Business call
20–30 minutes about users, locations, vendors, systems and the problems that need to disappear.
Diagnostic scope
We say whether the collected information is enough for a proposal or an access-based audit is required. You approve its scope and cost first.
Plan and onboarding
We define ownership, priorities, SLA, ticket channels and the order for tidying access, backup and documentation.
Ongoing operations
We deliver the agreed helpdesk and maintenance. Incidents, changes and recurring work leave a trace in tickets and reports.
Commercial model
Ongoing ownership or a defined project
We do not publish one price per seat: the same headcount can hide a completely different number of systems and SLA requirements. The quoting process is transparent and you approve the amount before work starts.
Managed IT retainer
when the company needs a helpdesk and an owner for day-to-day IT
- an agreed set of users and systems
- ticket channel, priorities and SLA
- recurring work, documentation and reporting
- a fixed monthly amount, net plus VAT
Project or intervention
when the outcome and the end of the work can be clearly defined
- Microsoft 365 or server migration
- configuration or security audit
- outage, upgrade or backup remediation
- a scope-based quote before work starts
Price drivers include user and site count, number of systems, documentation quality, support hours and required response times.
Team specialisms
When a problem needs a narrower team
The same engineers operate SysGroup's specialist services. We route an enquiry there only when the scope is narrower than full managed IT.
LinuxAdmin
Ongoing administration of individual Linux servers, monitoring and SLA.
Angry Bytes
DevOps for development teams and operating-system upgrades from PLN 700 net.
WordPress care and repair
Subscription maintenance for existing sites and a separate urgent repair path.
Microsoft 365
Migrations, security configuration and ongoing Microsoft 365 administration.
Company domains
Domain recovery, registrant clean-up and renewal control.
xDNS
DNS record and propagation diagnostics; not a separate managed-DNS subscription.
Work examples
What remains after a well-run engagement
We do not publish client names without consent. We show the situation, delivered scope and an outcome that can be verified operationally.
PHP/MySQL server migration
Dependency inventory, a new environment, application testing and a cutover plan; monitoring and backup checks afterwards.
Online-store server outage
Performance diagnosis, service recovery, followed by resource and backup monitoring instead of another one-off repair.
Taking over day-to-day IT
Access inventory, ticket onboarding, escalation rules and SLA — knowledge no longer depends on one person.
On-site support in Bydgoszcz, remote worldwide
We are based in Bydgoszcz, Poland (ul. Gdańska 119). Local clients can get on-site support; everyone else is served remotely — across Poland, Europe and worldwide, in English or Polish.
FAQ
Frequently asked questions
The questions companies ask most often before we start working together.
Handing your company's IT over to an external team. It works well for companies from a few up to ~150 seats that have no internal IT or want to stabilise the one they have. We take responsibility for users, servers, Microsoft 365, backup and WordPress sites — under a contract and an SLA.
Cost depends on user, system and location count plus the required response times. After the technical call we say whether the collected scope is enough for a proposal or a separately priced audit is required. Ongoing support is billed as a monthly retainer, net plus VAT.
We start with a call and define the diagnostic scope. We then prepare an ownership and SLA plan, organise access, documentation, monitoring and backup, and only then begin ongoing support.
Yes. We work remotely with companies across Poland, Europe and worldwide, with contracts and invoicing in English or Polish. Clients in the Bydgoszcz area can also get on-site support.
The contract defines ticket priorities, guaranteed response times, availability hours (up to 24/7) and backup/restore parameters (RTO/RPO). So it is always clear who reacts to an incident and how fast.
Yes — they are our specialities. Linux administration runs under LinuxAdmin by SysGroup, and WordPress/WooCommerce care and repairs under dedicated services. All delivered by the same team.

A short description of the company and the situation is enough. The first call establishes whether you need ongoing support, a defined project or a specialist for one area.
